Understanding expense transaction statuses in Melio

Every transaction in your Expenses dashboard moves through a series of statuses. Here's what each one means.

Transaction statuses

StatusWhat it means
Pending details

The transaction has come in, but it's still missing a receipt from the cardholder. You can send a reminder once per 24 hours, or open the transaction and add the details yourself.

If your Melio account Admin has set a receipt amount threshold, the cardholder gets a time-limited link to optionally add details instead of a required receipt - once it expires, the transaction moves to Needs review automatically. If auto reminders are on for the cardholder, they'll also get an automatic reminder every 24 hours until they respond. 

Needs review

Ready for the account Owner or Admin to confirm the payee, category, and the rest of the details before it’s synced.

A transaction can also have this status after a cardholder categorizes their own purchase (if Cardholder is allowed to  do categorization) - you'll still need to confirm it. 

Ready to syncThe transaction has been reviewed, and saved - it's waiting for you to sync it to QuickBooks Online or Xero. Additionally, you can download the CSV file with your transactions from ‘Ready to sync’ tab.
SyncedThe transaction has been sent to QuickBooks Online or Xero and is now permanently locked in Melio.

You can filter your Transactions tab by any of these statuses using the tabs at the top of the table. Once a transaction is coded, its row shows the matched payee instead of the raw merchant name.
