Why aren't my bills from QuickBooks appearing in my Melio account?

  • Updated

This article is relevant for: Core subscribers, Boost subscribers.

Syncing Melio with QuickBooks Online saves time by eliminating dual entry. Bills and vendor information will automatically appear in your Melio account.

When Core and Boost subscribers connect their Melio and Quickbooks accounts, payments automatically sync between the two platforms. However, if you're experiencing issues where payments in QuickBooks aren't showing up in Melio, there are a few steps you can take to troubleshoot the problem.

Note: Is the sync with QuickBooks Online available to all plans?

Core and Boost subscribers enjoy unlimited sync between their Melio and QuickBooks Online accounts. Once you send or receive a payment through Melio, the status will be updated in your accounting software as well, for seamless reconciliation.

Go subscribers can sync only the first 10 payments between their Melio and QuickBooks Online accounts. Whether these payments are synced from QuickBooks Online to Melio or vice versa, and whether they are payables or receivables, only 10 payments will be balanced between both accounts.

After this limit is reached, payments made in Melio will not sync to QuickBooks Online, and pending payment bills from QuickBooks Online will not sync to Melio.

Need all your payments synced between QuickBooks Online and Melio? Upgrade to the Core or Boost plans.

How to fix this:

Bills older than 60 days

Melio only syncs payments edited or created in the last 60 days. To sync older payments, you’ll need to edit them in your QuickBooks account to trigger a sync with Melio. This can be a simple edit like adding a letter to a vendor's name, which should make the payment appear in your Melio account.

Manually Sync your QuickBooks account

If newer payments aren’t appearing either, you can try manually syncing your QuickBooks account. Here’s how:

1. Click Settings from the left sidebar.

2. Under Company, select Sync and import.

3. In QuickBooks Online is connected, click Sync now to manually sync your Melio and QuickBooks accounts. It may take up to 5 minutes for the manual sync to complete.

Disconnect and re-sync your QuickBooks Account

If you still aren’t seeing payments, try disconnecting and re-syncing your QuickBooks account.

1. Click Settings from the left sidebar.

2. Under Company, select Sync and import.

3. In QuickBooks Online is connected, click Disconnect to disconnect your Melio and QuickBooks accounts.

4. Go back to Sync and import.

5. Under Sync Accounting Software, next to the right QuickBooks version, click Connect

Once reconnected, payments should sync between your QuickBooks and Melio accounts.
