My expenses aren't syncing to QuickBooks Online

  • Updated

If your transactions aren't showing up in QuickBooks Online, work through these checks:

Make sure you selected Sync

Selecting a transaction category doesn't sync it automatically - syncing is a separate, manual step. From the Transactions tab, open the Ready to sync tab, select your transactions, and select Sync.

Check your QuickBooks Online connection

Make sure you are connected to QuickBooks Online. If you aren’t, follow the instructions in this guide to connect. Then try syncing again.

Confirm a reconciliation account is selected

Each card needs a reconciliation account selected in QuickBooks Online before its transactions can be synced.

1 - Select View next to the desired card in the Cards tab.

2 - In the card details section, look for the QuickBooks Online account field. It should have the name of the reconciliation account there.

3 - If you don’t see the account name, select Edit details. Then, choose the QuickBooks Online account, and select Save.

Review the sync error message

If a sync fails, Melio shows an error on the transaction explaining why. Common causes include a memo longer than 1,000 characters or a merchant name longer than 100 characters. Shorten the field and try again.

Confirm the card is active

1 - From the Cards tab, select the Inactive cards filter.

2 - If the card appears in the list, it means it was deactivated. You need to add the card once again.
