How to manage a vendor's Autopay rule

  • Updated

Once you've set up Autopay for a vendor, you can make changes to that rule at any time. Edit its settings or cancel it altogether. That way, Autopay keeps working exactly the way your business needs, without starting over each time something changes.

If you haven't set up Autopay for this vendor yet, see How to set up Autopay for a vendor.

This guide includes the following sections:

Any user with the Owner, Admin, Accountant, or Contributor role can manage an existing Autopay rule. If you have the Approver or Viewer role, you can view a rule's status, but you won't be able to make changes.

Editing an Autopay rule

1- From the Vendors tab, select the vendor you want to manage. Use the search bar if needed.

2- Now on the Vendor details page, scroll down to the Autopay section.

3- Select the three-dot icon.

4- Select Edit.

Select Edit to change the details of your vendor's Autopay rule.

5- On the Autopay settings page, update the Maximum bill amount, Payment method, Delivery method, or When to pay fields as needed.

Changing the Payment method or Delivery method requires you to reauthorize Autopay for this vendor.

6- Select Save.

Editing the rule is different from changing a vendor’s delivery method details. If you update a vendor’s delivery method details, or delete the payment method a rule uses, Autopay cancels the rule when the next bill arrives, and you’ll need to set it up again.

That's it! Your changes apply to the next bill only. Any payment already scheduled keeps its original details.

Canceling an Autopay rule

1- From the Vendors tab, select the vendor you want to manage. Use the search bar if needed.

2- Now on the Vendor details page, scroll down to the Autopay section.

3- Select the three-dot icon.

4- Select Cancel.

Select Cancel to stop Autopay from paying your vendor's bills automatically.

5- Review the confirmation popup, then select Cancel Autopay to confirm.

Canceling a rule clears its settings and stops future bills from this vendor from being paid automatically. Any payment already in progress or scheduled will still be delivered. Your payment history for this vendor isn't affected.

Canceling Autopay is different from deleting the vendor. If you delete a vendor, its Autopay rule is canceled too.

If Autopay tries to schedule a payment and can’t, the rule is canceled and you’ll get an email notification.

That's it! Autopay is turned off for this vendor. You can set it up again anytime from the same Autopay section within the Vendor details page. For answers to other common questions, see Autopay FAQ.
